Property Manager

In Person - Washington, DC

The Position

The Property Manager is responsible for assisting the Asset Manager/Portfolio Manager in the overall administrative, financial, and operational management of assigned assets.


Responsibilities include, but are not limited to, invoice management/processing, contract administration, and tenant and unit owner communications, in addition to assisting the Asset Manager/Portfolio Manager with monthly reporting (including variance reporting), budgeting and re-forecasting, lease administration, and project management.


The Property Manager is responsible for complying with and enhancing all the operational policies and procedures established by the company.


Job Type

Responsibilities:

Tenant and Unit Owner Relations

Establish and maintain excellent tenant relations. Regularly meet with tenants or unit owners to ensure expectations are met and issues are addressed in a timely manner.
Conduct and document property inspections using the electronic site inspection system.


AR/AP & Procurement

Manage and oversee the receivables collections process, - Monthly Rent or Condominium Assessments and other receipts
Oversee the processing of purchasing and procurement, including the input of invoices into SnapScan and Adobe Scan, researching, coding, tracking, contracts, and special check disbursement requests. Responsible for reviewing and approving invoices up to a limit of authority, under the direction of the Asset Manager or Portfolio Manager.


Reporting & Budgeting

Assist the Asset Manager and Portfolio Manager in the preparation of the annual budget, Income & Expense Reports and conducting monthly operations statement reviews, preparing the monthly operating management reports and quarterly reforecast reports, reviewing of annual Operating Expense Reconciliations and Estimates as necessary.


Maintenance Coordination

Assist the Asset Manager and Portfolio Manager in overseeing service contractor performance, including preparation of requests for proposals (RFP’s) and contract specifications, analysis of pricing (compare and contrast with previous jobs), transition issues and adherence to specifications.
Assist in managing the electronic maintenance work order/ticket system to include entering and closing tickets and preparing reports and graphs as requested.
Coordinate with maintenance and engineering staff to ensure successful delivery of building operations.


Lease Administration

Create Lease Abstracts for fast reference and review by Asset Manager and Portfolio Manager.
Review and have strong knowledge of the individual leases and lease provisions in place at each of the assigned properties to ensure that the services offered are appropriate to the tenant requests, etc.
Coordinate tenant move-ins or move-outs, including meeting with moving contractors to review rules and regulations, securing proper insurance certificates, advising tenants and unit owners of restrictions, and ensuring in all ways possible that the moving procedure is feasible.
Complete lease administration duties as it relates to the internal process of documenting the tenant move activity.
Assist the Property Manager and Portfolio Manager in the review and approval of annual operating expense reconciliations and assist in the completion of all miscellaneous tenant billing. Responsible for learning and understanding tenant leases and lease clauses.
Maintain accurate lease files, property files, and vendor files on site.
Review new lease documents and confirm lease abstract accuracy.
Responsible for efficient and regular communication with the Property Manager and Portfolio Manager regarding property, unit owner and tenant activities.


Special Project Assistance

Assist the Asset Manager and Portfolio Manager and others with special projects as necessary. Should be willing and able to offer assistance to Project Management Services, the Engineering Team, Leasing and Development where applicable.
Complete special projects as assigned.


Management Assistance

Perform back-up duties for the Asset Manager when that individual is not in the office. This includes becoming familiar with company emergency policies and procedures and using good judgment in emergency situations.
Preparing incident and theft reports as necessary or as directed by the Asset Manager and Portfolio Manager.


Qualifications

A BA/BS degree is preferred, plus a minimum of 2–3 years of progressive experience in commercial real estate management is desired. 
Three strong letters of reference are required.
A DC Property Manager's License or Broker's License is required.
RPA or CPM designation or candidacy is preferred.


IT Experience

Strong computer skills in MS Office including Microsoft Word and Excel - Financial Modeling or equivalent - and advanced capabilities in PowerPoint are required. Experience with software packages such as Buildium, Yardi Breeze, Front, and Slack is essential.
Capabilities with Mac apps and the operation of a Mac in general. Ability to learn and effectively use internal software packages such as project/task management software such as ASANA. 


Physical Exertion

While performing the duties of this job, the candidate is frequently required to sit, use hands to type, pull, handle, or feel, and talk or hear. The candidate is regularly required to reach with hands and arms. The candidate is occasionally required to stand, walk, and lift and/or move up to 25 pounds.
 
Other Skills/Requirements

Strong organizational skills
Strong interpersonal skills with demonstrated effective oral and written communication skills are required.
Working knowledge of building mechanical systems and construction management is preferred but not required.
Ability to prepare accurate and detailed monthly financial reports.
Must be a smart, solutions-driven, independent worker who exercises good judgment, uses discretion, and keeps the process moving forward, all with minimal supervision.
Must be reliable, dependable with excellent attendance, flexible, and versatile.
